Revidera (“Revidera,” “we,” “us”) respects privacy and is committed to protecting personal information. This Privacy Policy explains what we collect, how we use it, when we share it, and the choices and rights available to individuals.
“Personal information” (or “personal data”) means information that identifies, relates to, describes, or could reasonably be linked to a person.
1) When this Policy applies
This Privacy Policy applies when Revidera processes personal information as a data controller, such as when you:

request a demo, download content, subscribe to updates, or contact us;
register for or attend webinars/events;
create an account for our customer portals or community spaces (if offered);

2) Revidera as Processor for Customer Data
Many Revidera customers use our services to manage recruiting, hiring, identity, credentialing, or workforce workflows. In those cases, Revidera may process personal information on behalf of the customer (the “controller”), such as candidates, employees, contractors, or other users.
When Revidera is acting as a processor/service provider, the customer’s privacy notice governs how that customer collects and uses personal information, including any employment or recruiting-related decisions. If you have questions about how your information is used by a customer, please contact that organization directly.
3) Information we collect
We collect information in three main ways: (a) directly from you, (b) automatically through technology, and (c) from other sources.
3.1 Information you provide
Depending on how you interact with us, we may collect:
Contact and account details: name, email, phone, company, job title, username/password
Communications: information you include in messages, support tickets, calls, or chats
Recruiting communications (including SMS/text where you provide your number): if you provide your mobile phone number through our candidate portal or during recruiting communications, we may collect and use it to send SMS messages related to your application (e.g., scheduling, requests for information, status updates, and reminders). We may also collect SMS-related metadata such as delivery status and timestamps to operate the messaging service.
Event and registration details: registration data, attendance details, and (if relevant) photos/video from events
Billing details (if applicable): billing contact and payment-related information (typically processed through payment providers)
User-generated content: information you post in a community/forum, if we offer one
3.2 Information collected automatically
When you visit our sites or use our services, we may collect:
Device and network data: IP address, device type, browser, operating system, language settings
Usage data: pages viewed, actions taken, links clicked, referring pages, access times, feature usage, and diagnostic logs
Approximate location: inferred from IP address (not precise GPS unless you explicitly allow it in a mobile context)
3.3 Information from other sources

Your organization: if a colleague provides your details for procurement, account management, or support
Public or professional sources: such as business websites or professional profiles (where permitted by law)

4) How we use information

Where required, Revidera relies on recognized legal bases, including:
contract (to provide services you request),
legitimate interests (to run, secure, and improve our business),
consent (where required, such as certain marketing or non-essential cookies), and
legal obligation (to comply with applicable laws).
6) Cookies and similar technologies
We use cookies and similar tools (pixels, SDKs, local storage) to operate, secure, and understand our websites and services.

Event sponsors/partners: if you choose to register for a co-sponsored event or opt in to sponsor sharing (where required).
Legal and safety: to comply with law, enforce agreements, or protect rights, safety, and security.
Business transactions: if we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred subject to appropriate safeguards.
8) International data transfers
Revidera may store and process information in countries other than where you live. Where required, we use recognized safeguards for cross-border transfers (for example, contractual protections and other measures appropriate to the destination and legal requirements).
9) Data retention
We keep personal information only as long as needed for the purposes described in this Policy, including:
providing services and support,
meeting legal, tax, or accounting requirements,
resolving disputes, and
maintaining security and preventing fraud.
Retention periods vary based on the type of information, sensitivity, contractual requirements, and applicable law. When information is no longer needed, we take steps to delete, de-identify, or securely destroy it.
For SMS communications, we retain SMS-related information as needed to support recruiting communications, maintain opt-out records, and meet legal or compliance requirements.
10) Security
We maintain administrative, technical, and organizational safeguards designed to protect personal information. No system can be guaranteed 100% secure, but we work to prevent unauthorized access, misuse, or disclosure.
11) De-identified and aggregated data
We may create and use de-identified or aggregated data for analytics, product improvement, benchmarking, and business insights. We take measures intended to prevent re-identification where required.
12) Your privacy rights and choices
Depending on your location, you may have rights to:
access your personal information,
correct inaccurate information,
delete information,
restrict or object to certain processing,
request portability, and
withdraw consent (where processing is based on consent).
Marketing choices: You can unsubscribe from marketing emails using the link in the message. Even if you opt out, we may still send important service-related messages (e.g., security notices, transaction confirmations).
SMS choices: If you receive SMS messages from us, you can opt out at any time by replying STOP. We will process opt-out requests promptly (you may receive a final confirmation message). Reply HELP for assistance.
How to exercise rights: Contact us using the details in Section 16. We may need to verify your identity and, in some cases, confirm whether a customer (as controller) is the appropriate party to fulfill your request.
13) Automated decision-making and AI features
If Revidera offers AI-enabled features (such as summarization, screening assistance, matching, chat, or workflow recommendations), the following may apply:
Purpose: AI features are intended to assist users with efficiency and insights.
Inputs: AI tools may process information you provide, and/or information available within the service workspace.
Human oversight: Customers and users remain responsible for decisions made using the service; AI outputs should be reviewed and validated.
Model training: By default, Revidera does not use customer content to train generalized AI models unless explicitly agreed in writing.
Service providers: If we rely on third-party AI infrastructure, it is used under contractual terms designed to protect data and limit use to providing the service.
Limitations: AI may produce incomplete or incorrect output and can reflect bias present in underlying data. AI responses should not be treated as legal, medical, financial, or employment advice.
If the use of AI involves solely automated decisions with legal or similarly significant effects for individuals (where applicable law restricts such processing), Revidera and/or the customer will provide appropriate notices and options required by law.
14) Children’s privacy
Revidera’s websites and services are not intended for children. We do not knowingly collect personal information from children under the age required by local law without appropriate consent. If you believe a child has provided information to us, contact us and we will take appropriate steps.
15) External links
Our sites and services may link to third-party sites or tools. Their privacy practices are governed by their own policies, not this one.

17) Updates to this Policy
